Volunteer People Assistant

Department: People & Governance Team

Location: Teesside Hospice, 1 Northgate Road, Middlesbrough, TS5 5NW 

Time Requirement:  Flexible to suit you. 1- 2 days per week office based between hours of Monday and Friday, 9.00am to 5.00pm

Role Summary:
 
Teesside Hospice is looking for a volunteer to support our People Team with day-to-day HR activities. This role offers a fantastic opportunity to gain practical experience within a busy and supportive HR environment, assisting with a range of administrative and people-related tasks.

This volunteer position is particularly suited to individuals who are currently studying towards a HR qualification, recent graduates looking to build their experience, or anyone considering a career in Human Resources. The role provides valuable exposure to HR processes and practices within the charity sector, helping volunteers develop their skills, knowledge and confidence while making a meaningful contribution to the work of Teesside Hospice.

Key Responsibilities

The role will include working with the People Services team on different projects, including (but not limited to):

  • Provide administrative support to the People Team with day-to-day HR activities.
  • Assist with maintaining accurate employee and volunteer records, ensuring confidentiality is upheld at all times.
  • Support recruitment activities, including preparing vacancy advertisements, arranging interviews and communicating with candidates.
  • Assist with onboarding processes for new employees and volunteers, including preparing documentation and induction materials.
  • Help monitor and update HR databases, spreadsheets and personnel files.
  • Support the coordination of training, learning and development activities.
  • Assist with preparing HR letters, reports and other people-related documentation.
  • Respond to routine enquiries from employees and volunteers, referring more complex matters to the appropriate team member.
  • Support employee wellbeing and engagement initiatives across the organisation.
  • Assist with organising meetings, taking notes and carrying out other general administrative tasks as required.
  • Ensure compliance with GDPR and confidentiality requirements when handling personal information.
  • Contribute to projects and initiatives that support the continuous improvement of HR services within Teesside Hospice

 Personal Qualities:

  • Excellent communication skills and approachable manner
  • Ability to work in a busy environment and follow procedures
  • Excellent and efficient administration skills, with a high attention to detail
  • A good knowledge of Microsoft packages, particularly Excel & Word

Training requirements:

As a Volunteer Administration Assistant, you will complete the following training:

  • Teesside Hospice mandatory training
  • Volunteer induction training
  • Any other training identified as appropriate to the role

Support and Supervision:

Your first line of support and for any enquiries will be People & Governance Team to support you in your role.

Communications:

The People Services Team will regularly provide you with any information updates, training opportunities and upcoming events appropriate to your role.
