A higher education institution in Central London are seeking a proactive and organised
Timetabling Administrator to join its Registry team on a temporary basis asap for approx. 4 months. This is an excellent opportunity for an administrator with timetabling, scheduling or student administration experience to support the delivery of academic timetables and room bookings within a busy university environment.
Working within a collaborative team, the postholder will provide administrative support across a range of timetabling activities, helping to ensure the smooth scheduling of teaching, examinations and events. The role will focus primarily on timetabling responsibilities whilst also assisting the wider Registry team as required.
Hybrid working
This role requires full-time campus attendance during the induction period to ensure effective onboarding and training. Candidates should be available to work:
- 5 days per week on campus during the first week (Induction Week)
- 4 days per week on campus during the second week
- Thereafter, the role may reduce to 3 days per week on campus, subject to business needs and satisfactory progress within the role
Key Responsibilities- Provide first-line support to academic and professional services colleagues regarding timetabling and room booking queries.
- Support the planning, production and maintenance of academic timetables.
- Assist with timetabling and room bookings for undergraduate, postgraduate and apprenticeship programmes.
- Support the scheduling and administration of examination venues, including room allocations and set-up requirements.
- Maintain and update timetable information using the institution's timetabling system (Celcat experience advantageous).
- Monitor timetable clashes and scheduling conflicts, making adjustments and resolving issues where required.
- Coordinate room booking requests for events, student activities, widening participation initiatives and other ad hoc requirements.
- Liaise with academic departments and administrative teams to ensure scheduling requirements are met effectively.
- Assist the wider Registry team with administrative duties as required.
About You
You will be an organised administrator with
excellent attention to detail and the ability to manage multiple priorities in a fast-paced environment. Experience within a higher education setting is highly desirable.
You will ideally have:
- Previous experience in timetabling, scheduling, room bookings or student administration.
- Strong administrative and organisational skills.
- Excellent communication and stakeholder-management abilities.
- Experience using databases and information systems; experience with Celcat would be particularly beneficial.
- The ability to work accurately under pressure and adapt to changing priorities.
