Senior Team Administrator
£19.23 per hour | 3 months + | ASAP start | 20–35 hours per week | Hybrid, City of London

TPP Recruitment is working with a well-established charity to recruit a Welfare Team Administrator for an ASAP start on a temporary basis.

This is a varied, people-focused role supporting a busy Welfare and Grants team. You’ll be one of the first points of contact for people seeking financial assistance, so we’re looking for someone who combines strong administration skills with empathy, patience and professionalism.

Previous experience within the charity or not-for-profit sector is highly desirable, and we are particularly keen to hear from candidates who understand the importance of providing sensitive and supportive services to beneficiaries.

Working hours and flexibility There is excellent flexibility around working hours. The charity will consider candidates looking for anything from:
  • 20 hours per week through to full-time at 35 hours per week
  • For part-time applicants, hours will need to be worked across a minimum of four days per week
  • Individual working days can range from approximately 4 to 7 hours per day
  • Office hours are 9am–5pm
  • Hybrid working, with 2–3 days per week based in the City of London office
This could therefore work particularly well for someone looking for a substantial part-time position as well as candidates seeking full-time hours.

What you’ll be doing
  • Acting as a friendly and empathetic first point of contact for welfare enquiries
  • Handling telephone and email enquiries and carrying out initial eligibility checks
  • Supporting applicants through the application process and following up where needed
  • Maintaining accurate case records, databases and electronic files
  • Supporting caseworkers with documentation, grant payments and award correspondence
  • Preparing payment requests and supporting accurate financial administration
  • Producing database reports and assisting with data reporting
  • Preparing papers for Grants Committee meetings and maintaining records of decisions
  • Coordinating meetings, preparing agendas and taking minutes
  • Supporting applicant feedback surveys
  • Assisting with the administration of external partnerships and suppliers
  • Providing wider administrative support across the team where required
About you You’ll be an experienced administrator with excellent organisational skills and a calm, compassionate approach.

We are particularly interested in hearing from candidates with previous charity, not-for-profit, benevolent fund, grants, welfare or beneficiary support experience.

You will also need:
  • Strong administration experience
  • Excellent written and verbal communication skills
  • Confidence communicating with people by telephone, email and video call
  • An empathetic, sensitive and non-judgemental approach
  • Strong Microsoft Office skills, including Word, Excel, Outlook, PowerPoint and Teams
  • Experience maintaining databases, systems and accurate records
  • Experience extracting information and producing reports
  • Experience coordinating meetings and taking minutes
  • Excellent attention to detail
  • Strong organisational and time-management skills
  • The ability to manage competing priorities in a busy environment
  • A flexible and collaborative approach to supporting colleagues
Experience working with people with complex or diverse needs and handling sensitive or confidential information would also be advantageous.
