Our client is looking for an experienced Personal Assistant to join their team within the Marketing, Fundraising, and Engagement directorate. In this position, you'll provide proactive, high-level support to three Directors, ensuring the smooth operation of their daily activities. 

You'll also play a vital role in collaborating with a team of PAs and administrative assistants to deliver efficient administrative support to the wider directorate.

As the Personal Assistant, you'll have the chance to manage complex schedules, organise travel itineraries, and support recruitment processes, all while contributing to the mission to beat a Critical illness.

Key Responsibilities:

  • Proactively manage complex schedules and diaries, updating and communicating changes effectively.
  • Manage the Directors’ inboxes, using initiative to action emails and maintain a flagging system to help prioritise workloads.
  • Collate related paperwork for meetings, including briefing notes, agendas, and minutes.
  • Organise complex itineraries, producing clear and concise schedules for travel and accommodation.
  • Handle logistical tasks such as payment of invoices, room bookings, and managing expenses.
  • Ensure appropriate approvals are obtained for purchase orders, expenses, and contracts.
  • Support recruitment processes, including scheduling interviews and arranging IT equipment for new starters.
  • Work as part of a close PA and Administrative team, supporting and covering as required.
  • Support and train junior members of the team.
  • Task-manage the Administrative Assistant to provide effective administrative service.
  • Develop strong relationships with internal teams within each Directors’ departments.
  • Provide support for ad-hoc tasks as required.

The Successful Candidate:

  • Experience in providing high-level support at Director level to two or more Directors.
  • Knowledge of administration and office management functions.
  • Excellent communication skills and ability to build relationships at all levels.
  • Office Management experience.
  • Strong leadership and impact.
  • Excellent planning, organisational, prioritisation, and time management skills.
  • Flexible approach to taking on ad hoc projects.
  • Ability to maintain confidentiality and use discretion and diplomacy.
  • Proven problem solver with a creative and forward-thinking mindset.
  • Ability to travel to the office last minute when required.
