Service Administrator - Temporary to Permanent
Our client a newly formed Social Interest Group supporting two large charities; both of which provide social inclusion and rehabilitation services to those who suffer from mental health issues, mentally disordered ex offenders and victims of alcohol and substance misuse; they are seeking someone who will be interested in the role on a temp to perm basis and is available ASAP.
The role is to provide administrative support the senior management team; including CEO, group members, management team, the board and the central offices.
Administrative Support to the Group Chief Executive
Manage the Group Chief Executive's diary, arranging meetings and ensuring regular duties are scheduled.
Maintain a weekly appointment schedule for the Group Chief Executive.
Dealing with the Group Chief Executive's post, including re-directing mail to other appropriate managers and drafting responses to correspondence. Ensure that messages and requests from Board members are promptly dealt with by appropriate staff member.
Taking all incoming calls to the Group Chief Executive, taking messages and ensuring appropriate responses to all calls.
Managing the Group Chief Executive's files, ensuring they are up to date and all documents are available when required.
Maintain effective follow up system to ensure that tasks and instructions issued by the Group Chief Executive are actioned by the team/staff member concerned.
Carry out task to assist the Group Chief Executive to effectively discharge his/her duties.
Maintain attendance records for central based departments
Executive Management Team
Prepare minutes, agendas, notices, etc in connection with meetings of the Executive Management Team. Liaise with the Executive Management Team to ensure full attendance.
Attend all Executive Management Team meetings and keep appropriate records of all proceedings and decisions.
Prepare written minuets of Executive Management Team meetings and ensure relevant managers and other staff are provided with copies of resolutions or relevant extracts from minutes, as instructed by Executive Management Team. To follow up such documents to ensure agreed action is implemented.
Maintain computerised Central Diaries for Executive Management Team
Assist other members of the Executive Management Team as required.
Assist the Deputy Group Chief Executive with productions of Board Papers.
Compile on behalf of the Group Chief Executive standard reports for each Board meeting.
Assist with the service of the Board and its committees
Arrange appropriate venues and catering for the Board and its committee meetings
Assist the Chair with circulation of correspondence
Co-ordinate the Planning of the Annual Staff Conference
Co-ordinate the Planning of the Board Meetings and away days
Co-ordinate corporate events
Carry out ad-hoc projects as requested by the Group Chief Executive
Health & Safety
Take Individual responsibility with other staff for the personal health and safety of all people working, living or visiting the offices and residential accommodation.
Report any concerns relating to health and safety issues at the earliest opportunity to their immediate line manager
- Computer Literate - MS Word, Excel, Access & MS Outlook
- Typing 40+wpm
- Experience of drafting reports, writing letters and producing good quality written work
- Capacity to handle confidential information
