Our client a large voluntuary organisation are seeking a temporary office administrator on a temporary basis on-going; to start immediatly.

Main Purposes:
To provide effective and efficient administrative support to the HR Team, Finance & Business Services Department and other Teams.

Key Responsibilities

*Providing administrative support to the HR Team in respect of, for example, recruitment processes, staff training, preparation of management reports and the maintenance of personnel files

*Assisting the Finance Team to, for example, reconcile income received and log purchase orders onto the accounts system

*Supporting the Governance Department in respect of management of requests for translations; includes allocating jobs to translators, following up as necessary and dealing with invoices

*Co-ordinating and administering corporate meetings such as Staff Forum, Staff Sharing Day, Board and Committee meetings. Includes, for example, organising rooms, setting up teleconferencing facilities, sending out invitations, typing up minutes or notes

*Documenting administration procedures, ensuring they are published and publicised through, for example, shared folders, the HR system and/or intranet

*Dealing with suppliers and contractors and who are delivering to or carrying out works at the World Bureau, liaising with the Premises Manager as appropriate

*Other general administrative tasks including (but not restricted to):
oDealing with all incoming and outgoing mail, including providing support on large mail-outs
oBooking taxis and couriers
oOrdering business cards and corporate stationery
oMaintaining adequate stocks of office provisions and canteen supplies
oMaintaining databases such as staff lists, telephone directory, organisational charts
oBeing an initial point of contact for visitors and telephone callers and ensuring that staff and visitors comply with health & safety and security policies regarding e.g. signing in and out
