Volunteer Role: Volunteer Hub Receptionist
Managed and supervised by: The Resources Team with help from operational staff
Based at: 89 Heath Road, Twickenham, Middlesex, TW1 4AW.
Principle Responsibility: To provide visitor reception and information management.
Time Commitment: From one to five days per week from approximately (depending on a volunteer's availability) 9.30 - 4.30, with half an hour for lunch.

SPEAR is a charity working with homeless people in and around Richmond. Since 1987, we have offered services to thousands of homeless and vulnerable people, successfully transforming lives and supporting many of our service users to the point that they have achieved total independence. The charity adopts a unique, recovery based approach, promoting community involvement and personal development alongside practical outcomes. SPEAR provides supported accommodation, training and employment, and skills development.

Some of our projects are based at our Hub in Twickenham, where we run an appointment and drop in based service for clients. We are looking for volunteers to manage our reception area at the hub, which includes not only welcoming visitors and signposting them to the appropriate team, but managing the environment and ensuring a welcoming and safe place for our clients and workers.

Person Specification:
*Reliable, committed and motivated.
*Excellent communication skills, in person, by email and by telephone.
*Willingness to engage with a variety of visitors to SPEAR's Hub.
*Ability to answer the telephone and refer callers to the appropriate person.
*Ability to work with a team, and effectively use the support of professional colleagues
*Willingness to process waste recycling and maintain supplies of stationary, milk, tea and coffee etc.
*Ability to use the internet for research.
*Good IT ability and willingness to use data entry and databases.
*Ability to ask for assistance and make use of supervision.
*Ability to work independently and on own initiative.
*A good sense of confidentiality and its importance.

This role is for perfect for those looking to find their way into paid employment in a business administrative role and will provide both frontline operational experience and administrative experience. In your role of volunteer receptionist, you will be responsible for maintaining our reception area, being a welcome point for old and new visitors, as well as keeping the area clean and tidy.

In return for your help, we will provide you with an induction into the work of SPEAR's teams and the work of partnership organisations. Training will also be provided in frontline work, such as managing challenging behaviour, safeguarding and confidentiality and you will be given an overview of SPEAR IT and telephone systems.

Detailed responsibilities and tasks:

1.Visitor Reception
*Attending morning briefings to discuss any staff and client issues for the day ahead.
*Managing access to the building, using the intercom system.
*Greeting visitors and ensuring that they are signposted to the correct team within SPEAR or seen by the duty worker.
*Answering the telephone and dealing with telephone enquiries, signposting to SPEAR staff as appropriate.
*Filing in the duty list for that day and giving service users available slots in the diary.

2.Daily Tasks
*Ensure that the reception area, communal areas and the front door areas are kept tidy and drinks, newspapers etc are cleared away and leaflets are neat.
*Undertake daily checks of team resources such as tea, coffee and milk and toiletries.

3.Administrative Tasks
*Manage any admin tasks as required.
*Keep the diary for client appointments
*Undertake shredding as required.
*Frank and prepare outgoing post.
*Undertake day to day health and safety checks and maintain a safe working environment in conjunction with other SPEAR staff.
*Undertake research as requested.
*Updating the information held on local churches, checking details of the clergy, administrator etc.
*Helping to create documents and publicity material.
*Assisting with filing.
*Updating the website.
*Data entry.
