Wellbeing Services Assistant - Temporary

You will work with colleagues in the Workplace Wellbeing Services team to support the client relationships and delivery of paid-for services and products to clients. Our current portfolio of paid-for services currently includes training and learning products, consultancy services and Workplace Wellbeing Index, a benchmark of best policy and practice in workplace mental health.

Scope of job

The role involves a range of activities to support the delivery of paid-for products and services within the Workplace Wellbeing Services team. This will include:

  • Being the first point of contact for, and logging or responding to, enquiries and requests
  • Maintain administration and other relevant systems, processes and procedures (manual and electronic) for the unit
  • Providing diary management, email management and meeting administration support
  • Being responsible for financial processing for the Workplace Wellbeing Services team, including processing invoices, generating purchase orders and keeping records
  • Working with colleagues to support the delivery of the team's various projects and initiatives

Person Specification:

Essential Criteria

  1. Excellent administrative and organisational skills, displaying a high level of attention to detail
  2. Proven ability to undertake a varied and at times fast-paced workload, to work on own initiative without daily supervision
  3. Ability to prioritise work and to plan your own time efficiently, and manage multiple tasks for different people
  4. Good communication skills, particularly the ability to draft clear emails and respond politely and sensitively to incoming telephone calls
  5. Experience of working with all programmes within Microsoft Office for word processing, and the setting up of storage of information through CRM systems, spreadsheets and Access databases
  6. Ability to work as part of a team and to build effective working relationships with staff in other departments and outside of the organisation as required, showing a high level of customer care
