Team Co-ordinator - Temporary

To provide administrative support to the Deputy Director of Fundraising, undertaking, coordinating and managing a range of tasks and projects, ensuring key projects are delivered on time and within budget.

To support the operational work of the major supporter team as required.

Key accountabilities;

  •     Support to Deputy Director of Fundraising;
  •     Act as central point for both internal and external communication for the Deputy Director of Fundraising
  •     Manage the diary of the Deputy Director of Fundraising using Microsoft Outlook, and support them in overall management and planning of workflow
  •     Draft, proof-read and send routine correspondence and reports
  •     Support the administration of the Research Commercialisation Board working with the PA to the Fundraising Director
  •     Co-ordinate monthly management account report commentaries & quarterly variance reports, including monitoring of budgets and KPI’s against performance
  •     Planning, implementing and managing clean up and development of logical systems for Trust and Major Donor files
  •     Co-ordination and support for Major Supporter team (which incorporates major donors, trusts, legacy and corporate) predominately working with major donor team;
  •     To organise external meetings and research project visits with major donor prospects and existing individual donors
  •     Co-ordination of internal major donor prospect meetings
  •     Co-ordination and management of all major donor communications including sourcing and creation of content and managing all communications so they are aligned with communications plan
  •     Co-ordinate Prospect Wealth screening activity
  •     Ensure all individual donor profiles and solicitation plans are kept fully up to date
  •     Co-ordination and support for planning and delivery of all major donor events including guest identification and coordination, working with venue, hosts, internal and external stakeholders to ensure the event is delivered within timeframe and to budget
  •     Working with internal and external stakeholders as required
  •     Ensure all donor records are fully data compliant
  •     Additional administrative support s as required

Person specification requirements

    Highly organised with excellent time management skills and the ability to work on a number of complex projects concurrently
    Ability to prioritise across a range of projects as needed to meet tight deadlines
    Experience of providing comprehensive diary management and relevant administrative support to a senior member of staff and their team
    Project coordination and management experience (qualification an advantage)
    Understanding of data compliance issues and experience of handling sensitive information
    Excellent verbal and written communication skills, including experience of communicating with major supporters
    Experience of using a fundraising database (ideally Raiser’s Edge)
    Experience of working in a charity and particularly a fundraising function
    Experience of working with high net worth individuals (desirable)
