A great opportunity for someone looking to gain experience in a prestigious humanitarian charity to provide efficient and confidential administrative and secretarial support to the Area Operations Director
35 hours per week
Fixed term contract until March 2016
£18,000 pro rata
Duties and responsibilities:
Ensure that all correspondence is prioritised and dealt with promptly, maintaining full confidentiality.
Respond to correspondence and requests on behalf of the Director.
Distribute regular management information and staff briefings under the guidance of the Director.
Maintain the Directors diary, arranging meetings and travel and ensuring she is briefed and prepared with supporting papers.
Oversee the booking of meetings and travel for members of the Area Management Team.
Carry out typing of notes, memos, letters, reports and other paperwork for the Director.
Maintain an efficient and up-to-date filing system and keep Kent and Sussex Area information up-to-date as Area Intranet and Website Administrator.
Support the Operations Director in the recruitment process of Senior Staff and to assist in the recruitment, selection and induction of administrative staff.
Co-ordinate the appraisal process in the Area, and other HR processes as required.
Assist in the preparation of the Area Operating Plan and Budget and complex bids.
Maintain up-to-date mailing lists, databases, contact details and disseminate as necessary.
Receive and coordinate telephone calls and monitor the Directors e-mails in his absence from the office ensuring any urgent matters are dealt with promptly.
Produce a regular newsletter, researching, writing and editing articles as necessary.
Liaise with staff and volunteers at all levels within the charity on behalf of the Director, dealing with issues directly or passing them on.
Liaise with members of external organisations as directed by the Director.
