Our client is looking to recruit an Operations assistant for 2.5 days a week. They are very flexible on when you work these hours. You would need to be flexible from time to time on taking calls early evening due to time differences to talk to the stakeholders.
This role would require you to travel once a year . Its normally around February time. You would be away for 1 week. For example this year it was in Miami. You must be able to to this once a year.
You would report into the Project Manager.
The key duties for this role would be:
Filing and distributing contracts and invoices
Logging information in the management system
Events and conferences
Full participation in the planning and execution of the Annual Meeting (3-4 days, January/February each year, approx. 100 participants)
Board and committee meetings
Selecting, booking and liaising with venues
Making travel arrangements for members
Verifying the submitted information is in line with the expenses policy
Coding individual expense items
Liaising with claimants as necessary
Adding content e.g. blog posts, research papers, reports
Internal newsletter preparation
Proactively sourcing articles and content
You would need:
English written and spoken to native standard
High non-technical IT competency
Attention to detail
Experience working independently / from home
Experience with international organisations
Customer service experience
Events management experience
Other languages: Spanish, French
