Office Manager - Interim (part-time 4 days pw)
Our client a leading mental health charity are currently seeking a highly experienced office manager to support 2 sites one in Barnet and one in Enfield, this role will be mostly remote working but the need to go on site once a week, this hire is to fill in while they recruit for the post permanent and is expected to be 3 months duration.
For this post you will ideally have come from a service user environment due to the nature of the role and charity this is a very busy and varied role and so successful applicants will have a broad office management background, and not be fazed by high pressure workloads and conflicting priorities.
Purpose of the role
- Ensure the smooth running of both Offices in Barnet and Enfield
- Oversee and support management in all office administration including HR administration, systems and processes, organisational policy, board administrative duties, IT and communications networks, health and safety procedure as necessary
- Oversee reception management including reception staff, volunteers and recruitment
- Support the Merger Consultant, Operations Manager and CEO in the effective management and organisation of the charity
- Contribute to the collaboration and potential merger of the 2 Offices in Barnet and Enfield
Duties of the role
- Develop, review and maintain effective office management systems across both organisations
- Ensure all policies are up to date, in place and communicated to all staff
- Manage HR administration, systems and processes, including employee contracts, holidays, sickness, recruitment, payroll and pensions
- Manage the relationship with the HR advisory organisation
- Contribute to the efficient and effective co-ordination of quality audits/inspections and aiding financial audits
- Oversee that all office administrative processes ensure confidentiality and adherence to the Data Protection Act and General Data Protection Regulations (GDPR)
- Record and distribute minutes for board, management and staff meetings as and when required
- Oversee staff training across both organisations including assessing, planning, tracking and co-ordinating mandatory training
- To recruit volunteers with the aim of establishing a solely volunteer-run reception
- Arrange and conduct DBS clearances and to ensure DBS compliance across both organisations, including volunteers
- To oversee website and social media platforms and enlist support as needed to keep them current
- To carry out regular banking of monies received
Experience
- Experience of a client facing administrative and reception environment
- Experience of dealing with HR support related issues.
- Experience of an administration role

- Ability to set up and use databases and reports as required
- Ability to meet deadlines and sometimes work under pressure to tight deadlines

Knowledge
- Good knowledge of Microsoft Word is essential
- Good knowledge of basic HR operating procedures
- Good knowledge of office administration
Role: Office Manager
Location: Barnet and Enfield 1 day a week in the office - the other days will be remote working
Employment Type: TEMP 2 months - potentially 3 months
Start Date: 10th November 2020
Salary/rate: £14.84-18.41 per hour - depending on expereince
Working hours: 28 hours per week - Tuesday-Friday
