Temporary - Fundrasing/Database Assistant

This role is to cover during a period of absence of the Fundraising Officer, and to cover some of the essential database and admin support tasks, to a high quality with an eye for detail. This role is pivotal in ensuring we have accurate records and excellent supporter care in support of our individual members, cash givers, campaigners, activists, affiliates, trusts & foundations and others. Without the highest quality work the whole organisation fails to effectively communicate with its valuable supporters.

Main areas of responsibility:

Accurate and prompt donations processing:

  • recording incoming donations onto the database, from online, over the phone, and through the post
  • processing card donations through the online payment system
  • outputting banking reports to the finance team
  • producing tailored thank you responses in an appropriate medium in receipt of donations
  • processing imports from external sources such as new direct debits, data from our telephone agency and donation processing systems

Supporter communications:

  • receiving and recording supporter communications via any method, promptly onto the database
  • working with colleagues to field supporter communications via the supporter in-box
  • ensuring the maintenance of and adherence to supporter care protocols, working closely with the rest of the Fundraising and Communications team
  • maintaining and advocating the best standards of data protection

Other activities

  • working closely with the Senior Data Officer to ensure smooth flows of data into and out of the database
  • scanning of Gift Aid forms and linking to database records

Person Specification

Essential:

Demonstrable exceptional attention to detail

Experience of charity databases (minimum 1 year)

Experience of a variety of online systems to download data files

Experience of manipulating and importing data files

Experience of dealing with incoming supporter / customer queries via phone, email and letter

Demonstrable excellence of supporter / customer care

Understanding and practice of Data Protection best practice and legislation including GDPR

Ability to work on own initiative

Desirable

Experience of using Raisers Edge

Experience of working in a fundraising team
