Events Coordinator - Temporary

Client - a leading health charity are seeking firstly a events coordinator to join them at a very busy time for the charity.

The Events Coordinator will:

  • Lead on administrative duties to provide first class administrative support to the Conferences and Events team
  • Be responsible for maintaining accurate data and resources for Conferences and Events
  • Support the Events team to develop, deliver and evaluate successful Roadshow programmes and events
  • Work on his/her own initiative, be organised and possess strong time management and ability to prioritise a heavy workload. Punctuality and good interpersonal skills are a must have.

Key responsibilities:

  • Coordinate the sale of exhibition space for our annual conference against agreed KPIs, including researching, prospecting new opportunities and securing exhibitors
  • Coordinate the internal abstract submission process from identifying relevant conferences to liaising with a senior level internal review group and submission of abstracts in a timely manner
  • Assist in the booking of organisations involvement in external national and international conferences for professionals
  • Be the key point of contact for event speakers, collate speaker info and create event briefs
  • Set-up and manage events in event management software (eg; Cvent, Primo etc)
  • Maintain project management documentation, files and reports for all events and produce high quality project status reports
  • Work closely with the finance team to ensure event income and expenditure is coded correctly
  • Act as the first point of contact for Roadshow events, providing an excellent level of customer service.
  • Respond to internal and external queries in an efficient and timely manner
  • Responsible for Roadshow event logistics and smooth running of events
  • Produce and distribute all necessary documentation including event packs to drivers; Regional Event Leads and venue
