Events Assistant - TEMP

To support the Internal Communications team to successfully deliver the Volunteer Awards which will recognise excellence and commitment among volunteers worldwide.

Provide Events support

- Be the first point of contact for internal and external enquiries on the phone, email and or face to face
- Support the Internal Communications Officer in the delivery of the Volunteer Award Administration
- Assist with the coordination of the nominations process, include planning the judging process (booking venue for judging and liaising with the judges)
- Lead on evaluation of the event. Prepare regular reports that evidence the lessons learned
- Support the event briefing process for presenters, attendees and support staff
- Liaise with the venue to ensure sufficient support on the day
- Support on the short-listing process, by managing distribution of nominations internally within Comms team.
- Monitor expenditure on the event, maintain a spreadsheet of financial outgoings, and process invoices and purchase orders

Essential Knowledge
- Event logistics, speaker briefing and audio-visual technology
- Excellent planning and organisational skills, with attention to detail and a methodical approach
- Ability to communicate effectively and persuasively in writing and in person
- A creative, pro-active and energetic attitude with ability to identify opportunities
- Demonstrable solution finding skills
- Good IT skills in a number of applications including word, email, excel and use of databases
- Ability to develop positive working relationships with internal and external stakeholders and demonstration of team working skills needed to work collaboratively with others
- Able to work flexible hours, including occasional evenings and weekends, and willing to travel with the UK to attend events
