TPP are delighted to be working with a not-for-profit membership organisation. This organisation has been established in the 1970's. They currently have over 110,000 members.

They are looking for an Administration Executive to join the team. This role would work across departments so good communication is key. Do you have a flexible attitude and always happy to help?

Are you efficient in minute taking? Do you have excellent attention to detail?

This role is key to the smooth running of Company meetings and the following of internal processes. The Administration Executive will be responsible for ensuring all meetings are run efficiently with the appropriate level of support and follow up for the Chairs of the various Committees/Working Groups.

Some of the responsibilities will include:
You will be responsible for a substantial amount of diary management and coordination across the Company so attention to detail is paramount.
You will be organising internal and external meetings ensuring that management and administration of these makes good use of your excellent minute taking skills, circulation of all papers pre and post the meeting takes place and follow up support is provided as appropriate for Working Groups, Committees, Board meetings and other ad hoc meetings as required.
For each meeting you are setting up you will organise and arrange meeting rooms to include IT, refreshments and lunches as appropriate. Your keen eye for detail and making sure everything is organized will be key in this role.

You will also be arranging travel and hotels for colleagues across the Company as required, providing relevant supporting itineraries and ensuring appropriate risk assessments have been carried out and are duly logged. You will take responsibility for the administration and version control of Company Policies and Processes ensuring that the most up to date version are those being referred to by any Working Groups or Committees.

To be successful in this role you will need:
Whilst it'd be great if you have a degree, common sense and a willingness to get the job done well is more important. However, we do need you to have had at least three years office experience in a similar role.

We need someone who has lots of experience with MS Office Suite (Intermediate level) and who can confidently manage the meeting diary in Outlook. Experience of Office 365 and Teams would be of real benefit too.
You'll be acting as the minute taker over a variety of Working Groups, Committees and at Board meetings so previous experience is essential as is excellent written English.

An interest in and aptitude for technology would be desirable. Experience of using different types of database would be beneficial too.

The ability to confidently liaise with internal and external colleagues is a must.
