A world leading institute is currently recruiting for an interim Academic Programme Coordinator for a minimum of two months. You will work alongside the Academic Programme Manager providing administrative and scheduling to support the Directors and Course Leaders across the programmes.

You will be the first point of contact for a range of day-to-day queries to support the delivery of assessments, courses, events and meetings. An integral part of the role is effective communication not only with students but staff and external stakeholders in addition to planning, scheduling classes and supporting the academic staff.

Main Responsibilities

Timetabling and Scheduling / Academic Programme Administration

  • Manage the analysis, collection and interpretation of timetable data, reports and audits.
  • Work to prevent any timetable-related issues that may arise in a timely manner.
  • Take responsibility for the delivery, production and maintenance of the School's timetable, including, but not limited to classes, workshops and events.
  • Making full use of the functionality of the timetabling software.
  • Ensure the timetable data including resources are accurate.
  • Act as a point of contact for all academic programme enquiries, offering excellent customer service.
  • Provide high-quality and timely administrative support across all of the programmes.
  • Work with academic staff to maintain and update course resources via the Virtual Learning Environment (Moodle).
  • Support the Academic Programmes Manager to help academic departments to comply with OfS regulations.
  • Support budget management by ensuring invoicing, financial and procurement processes.
  • Ensure accurate record keeping in all areas of work.
  • Ensure Diversity and Inclusion is at the forefront of your thinking and work.

You will have:

  • Experience of working in an administration role within Higher Education or within the Education sector.
  • Significant experience in timetabling and scheduling in complex environments.
  • Extensive experience in delivering timetable and using timetabling software particularly CELCAT.
  • Experience of working with Microsoft Office.
  • Previous experience within a customer service role.
  • Excellent written and oral communication.
  • Excellent IT skills and experience using technology.
  • The ability to provide a high level of service and support to students, visitors and staff.
